Practicum terms

For students, supervisors and schools using Practicum, including the school agreement: the free trial, paying, refunds and how student records are held.

These terms apply to TripleRoute Practicum — the part of TripleRoute used by students on a practicum, internship or field placement, by the site and faculty supervisors who sign for them, and by the schools that run their programs. They are an agreement between you and Arise Above Holdings, LLC, doing business as TripleRoute ("TripleRoute", "we", "us").

They add to our Terms of Service, which apply to everyone who has a TripleRoute account. Where the two say different things about Practicum, these terms decide. The limits on our liability and the way disputes are resolved are in sections 17 and 19 of the Terms of Service, and apply here.

Part A applies to everyone. Part B applies to students and supervisors. Part C applies to a school, and is the agreement between the school and us.

Part A — Everyone

1. What Practicum is — and is not

Practicum is a record of placement hours: a student logs them, a supervisor reads and signs them, and the signed record is kept so it can be shown later.

Practicum is not a licensing board, a school, an accrediting body or an electronic health record. We do not decide whether a placement meets a program's requirements, whether a student passes, or whether any board or employer will accept a record. The hour targets a record is measured against are the ones a school or a student entered. They are not our statement of what any program, accreditor or board requires.

2. One account

A TripleRoute account works for both Practicum and the supervision and licensure application. You need only one, and you are responsible for what is done with it. What you can see and do in Practicum comes from your place on a placement or in a school — not from the kind of account you have.

3. No client-identifying information

Never enter anything that identifies a client, patient or service user — no names, dates of birth, addresses, record numbers or case details that could identify a person. This applies to every field, note, evaluation and upload. Practicum has no place designed to hold such information and we do not agree to receive it. If it is entered, tell us and we will work with you to have it removed from what can still be changed.

4. Signed records do not change

When a supervisor signs a week, an evaluation or a final record, it is sealed. A sealed record cannot be edited or deleted by anyone — not the student, not the supervisor, not the school and not us. A mistake is corrected by adding an amendment that sits beside the original, which stays readable. This is what makes the record worth having, and it is not something we can switch off on request.

Part B — Students and supervisors

5. Students

Practicum is free for students. A student is never charged, and nothing a school pays or fails to pay changes what a student can see or do with their own record.

Your record is yours to read and download for as long as your account exists, whether or not you are still enrolled, whether or not your school still uses Practicum. You are responsible for logging hours truthfully. Recording hours that did not happen is a breach of these terms and of our Acceptable Use Policy.

If your school uses Practicum, the people at your school who run your program, and the supervisors assigned to your placement, can see your placement record. What we hold about a student, and who can see it sets this out in full.

6. Supervisors

Practicum is free for site and faculty supervisors. By signing a record you state that, to the best of your knowledge, it is accurate. Sign only what you have read. Your signature is an electronic signature under our Electronic Records and Signatures Consent.

You may be invited to a placement by a student or a school. An invitation can be accepted only by the email address it was sent to.

Part C — Schools

This part is the agreement between a school and us. The person who creates the school's account, or accepts these terms for it, confirms they have authority to do so.

7. The free trial

Every school has three months of the whole product, free, from the day it enrolls. No payment details are asked for. In the last 14 days we send reminders to the people who manage the school's account; they stop when the school moves to the paid plan.

If the trial ends and the school has not paid, students and supervisors carry on exactly as before. The school cannot start a new cohort or invite new students until it is on the paid plan. Nothing is deleted.

8. Price and payment

We do not publish a price. A school asks, and we reply with a price for its program and then an invoice. An invoice may cover one, two or three years, and states its amount, what period it covers and when it is due — normally 14 days after it is sent. Amounts are in US dollars and exclude any tax that applies.

What an invoice charges does not change once it is sent. Nothing renews or is charged automatically: about a month before paid time ends we write to the school, and send a new invoice only if it wants to continue.

A school moves to the paid plan when its payment is received, and is sent a receipt. If an invoice is late we send reminders. We do not delete anything because an invoice is unpaid.

9. Cancelling

A school may cancel at any time, without giving a reason, from its billing page or by writing to support@tripleroute.io. An unpaid invoice is withdrawn and nothing is owed on it. A plan already paid for runs to the end of the time paid for, unless a refund is given under section 10.

Cancelling never deletes anything. Every student keeps their record, signed records stay signed, and the school can still read and download what it holds.

10. Refunds

  • Within 30 days of paying: a full refund, whatever the reason.
  • After 30 days, on a one-year plan: no refund; the plan runs to the end of the year paid for.
  • After 30 days, on a two- or three-year plan: every full year that has not yet started is refunded. The year under way is not. A year is worth the amount paid divided by the number of years.

A person decides every refund request, normally within three working days, and a refusal is explained in writing. A refund is returned the way the payment was made. A refund never changes a student's record.

11. Student records

The school decides; we carry out. The school decides which students are enrolled, who supervises them and what its program requires. We hold and process student records in Practicum to provide the service to the school and to the student, and for no other purpose.

We will:

  • use student records only to provide Practicum, to keep it secure, and to meet a legal obligation;
  • not sell student records, and not use them for advertising;
  • not disclose them to anyone outside TripleRoute except the service providers that run the product for us under confidentiality obligations, or where the law requires it;
  • keep them protected in the ways described in What we hold about a student and our Privacy Policy;
  • tell the school without undue delay if we learn that student records were accessed by someone who should not have had access.

Where a school is subject to the Family Educational Rights and Privacy Act (FERPA), it is the school that decides whether its use of Practicum fits within that law — including whether we act for it as a "school official" with a legitimate educational interest — and that gives its students any notice the law requires. We will act on the school's written instructions about its students' records, within what section 4 allows.

The school confirms it has the right to give us the student names and email addresses it enters, and that it will not enter client-identifying information.

12. When a school leaves

A school that stops using Practicum can download what it holds. A student's own record remains the student's, and stays available to them. A sealed record is kept because it is evidence that a person may need years later; our Privacy Policy explains how long records are kept and why some cannot be deleted.

13. Our commitments, and their limit

We will provide Practicum with reasonable care and keep it available as far as we reasonably can. We do not promise it will be uninterrupted or free of error, and we do not promise that any accreditor, board or employer will accept a record made in it. Section 15 (Disclaimers) and section 17 (Limitation of liability) of the Terms of Service apply to a school as they apply to any user.

14. Changes to these terms

We may change these terms. We will post the new version here with its date, and where a change matters to a school that has paid, we will tell the people who manage its account at least 30 days before it applies. A change does not alter an invoice already sent.
