For program directors and coordinators

Know where every student stands, without asking anyone.

One list of the cohort: hours against target, who is behind, and exactly which signature each record is waiting for. The reminders go out by themselves.

An example cohort. Names and figures are invented.

Set up by the coordinator, in an afternoon

No consultant, no project plan, and no purchase a student has to make.

  1. First

    Describe the program

Its level, its field, the hour targets and categories your handbook already states.

  2. Then

    Paste the class list

Names and email addresses. Each student gets an invitation; nobody is sent a password.

  3. Then

    Assign sites and supervisors

From your own directory, which you build once and reuse for every cohort after.

  4. From then on

    Watch, and step in early

The list above keeps itself current. You are told when something needs you.

The chasing is done for you

A signature that is late is the commonest reason a record is incomplete at the end of term. So lateness is noticed on a schedule, not by a student in week thirty.

Sites, agreements and the paperwork that expires

  • A directory of your sites

Each agency and the people there who supervise, kept between cohorts so a placement is an assignment, not a new record.

  • Affiliation agreements

With their start and end dates. A placement cannot begin at a site whose agreement has lapsed.

  • Insurance certificates

Stored against the site or the student, with the date they run out.

  • Learning agreements

What the placement is for, signed by the student, the site supervisor and the faculty supervisor before hours begin.

  • Visits and concerns

A faculty visit is recorded with its date and who was present. Either supervisor can raise a concern, and you see it the day it is raised.

Your program's words, not ours

Social work says field instructor and field liaison. Counseling says site supervisor and faculty supervisor. Choose once; every screen your people see uses your terms.

  • Your targets

Total hours and each category, as your handbook sets them. Fixed for a cohort once students have begun.

  • Your evaluation

Midterm and final, in your own areas and your own scale, signed by the supervisor and acknowledged by the student.

  • Your data

The cohort report downloads as a spreadsheet, and everything the program holds as one file — at any time, by you, without asking us.

For the people who will review us

Your information security office and your counsel will have questions. They are answered in one place.

Student records and security
Do students have to buy anything?

No. There is no student fee and no student checkout anywhere in the product.

What do we need from our IT department?

Nothing to begin. People sign in with their own email address and a second step on their phone.

Can we bring a cohort that is already mid-year?

Yes. Students enter the hours already completed and the supervisors sign them as they would any other week.

What if we stop using it?

You download everything first. What happens to the records afterwards is written into the agreement we sign with you.

Bring one cohort

We will set up your categories and targets with you, on a call, and you can decide after.
